A cleaning contractor relationship works best when both sides know what to expect. The process below is the sequence we follow for every new account, from the first inquiry to the 30-day check-in. It does not vary by account size.
Inquiry and Initial Quote
You call (866) 958-8773 or submit a quote request online. We respond by the next business day with a callback to collect your square footage, restroom count, floor surface types, and preferred schedule. For most facilities under 10,000 sq ft, this is enough to produce a written quote without a site visit. If you are unsure how often your facility needs service, see our guide to choosing a cleaning frequency.
Walkthrough (If Needed)
Larger or more complex facilities—those with unusual access requirements, specialty floor surfaces, or multiple tenants—typically get a short walkthrough before the quote is finalized. The walkthrough takes 20–30 minutes. We confirm the scope and timeline before scheduling it.
Written Scope of Work
Once the details are confirmed, we produce a written scope of work. The scope defines every task, the frequency for each task, the cleaning schedule, the crew assignment, and the response process for service issues. Both parties sign the scope. The scope is the contract. See what belongs in a commercial cleaning scope of work for the full breakdown.
Crew Assignment
A specific crew is assigned to your facility before the first service date. The crew lead receives a copy of the scope and an orientation to the building. You receive the name and direct contact for the crew lead. The crew is not pulled from a general dispatch pool on service nights.
First Clean
The first clean follows the scope exactly. If any element of the initial scope needs adjustment based on what the crew encounters in the building—a floor condition that differs from the intake description, additional supply needs, access timing issues—you are notified before the second service date.
30-Day Check-In
After 30 days, we request a check-in to confirm the scope is working for the facility and address any observations from either side. This is not a sales call. It is the mechanism for catching scope gaps before they become complaints. The check-in is written, and any scope modifications are documented.
Response Time Commitment
If you report a service issue before noon, you receive a confirmed response and a remediation plan by end of business the same day. Issues reported after noon are addressed by noon the following business day. This is the commitment, not the aspiration.
